Terms and Conditions
The following booking conditions form the basis of your contract with Hikasus LTD (“Hikasus Travel”, “we”, “us”). By requesting us to confirm your booking, we assume you have read, understood and agree to these booking conditions. They apply to all tours, transfers and shuttle services we provide.
Booking and Confirmation
A booking request is made by email, through the contact form on this website, or via WhatsApp. A booking is not confirmed until we have sent you a written confirmation and received your deposit. Until then, all prices, dates and services remain subject to availability.
When you make a booking, you confirm that you are at least 18 years old, that you have the authority to accept these conditions on behalf of everyone named in the booking, and that the information you provide about each traveller is correct.
Prices and Currency
Prices are quoted and payable in US dollars (USD) or euros (EUR). You may choose either currency at the time of booking; the currency stated on your confirmation is the currency of your contract.
Prices are based on the costs and exchange rates in force on the date of quotation. Once your booking is confirmed and the deposit is received, the price will not change, except where a change is caused by a government tax, entry fee or similar charge outside our control.
Any bank charges, card fees or currency conversion costs applied by your own bank are your responsibility. The amount we receive must equal the amount invoiced.
Payment Terms
To secure a booking, a non-refundable deposit of 15% of the trip cost, with a minimum of €200 (or the equivalent in USD), is required. The remaining balance must be paid no later than 30 days before the tour start date.
For bookings made less than 30 days before the tour start date, the full amount is payable at the time of booking.
If the balance is not received by the due date, we may treat the booking as cancelled by you and apply the cancellation charges below.
Payment Methods
Travellers can use the following methods of payment:
- Direct bank wire transfer (USD or EUR)
- Credit card: online payment via Visa or MasterCard
Payment instructions are issued with your booking confirmation. Please quote your booking reference on all transfers.
Cancellation by the Traveller
Cancellations must be sent to us in writing. The date we receive your written notice is the date used to calculate charges. The following charges apply:
- 30 days or more before the tour date: loss of deposit
- 15 to 29 days before the tour date: 50% of the tour cost
- 7 to 14 days before the tour date: 80% of the tour cost
- Less than 7 days before the tour date: 100% of the tour cost
No refund is given for unused services, missed transfers, late arrival, early departure, or any part of a tour not taken once it has begun.
Changes Requested by the Traveller
If you wish to change dates, accommodation, group size or itinerary after confirmation, we will do our best to accommodate the request. Changes are subject to availability and to any additional costs charged by hotels, transport providers or other suppliers. A reduction in the number of travellers may change the per-person price of a private tour.
Changes or Cancellation by Hikasus Travel
We plan itineraries well in advance and rarely need to change them. Where a change becomes necessary, we will inform you as soon as possible.
Minor changes — a different hotel of the same standard, a reordered itinerary, a change of vehicle or guide — may be made without compensation. Mountain roads, weather, road closures and local conditions in the Caucasus can require an itinerary to be adjusted on the day; your guide or driver will discuss any such change with you.
If we cancel your tour for reasons other than force majeure or your failure to pay, you may choose between an alternative tour of comparable standard or a full refund of all money paid to us.
Force Majeure
We are not liable for any failure to perform our obligations where this is caused by events outside our reasonable control. These include war or threat of war, civil unrest, border closures, terrorism, natural disasters, landslides, avalanches, flooding, extreme weather, epidemics, government action, strikes, and the closure of roads, airports or mountain passes.
Passports, Visas and Entry Requirements
You are responsible for holding a valid passport and any visa or permit required for entry into Georgia and any neighbouring country included in your itinerary. Entry requirements vary by nationality and can change. We can provide general guidance, but we cannot accept liability if you are refused entry or denied boarding because your documents are not in order.
Travel Insurance
Travel insurance is not included in our prices, and we strongly recommend that every traveller holds a policy covering medical treatment, emergency evacuation, cancellation, and loss of baggage. For hiking, mountain and high-altitude itineraries, check that your policy covers activity at the altitudes involved.
Conduct
We may refuse to carry or may remove from a tour any traveller whose behaviour endangers others, causes damage to property, or seriously disrupts the group. In such cases no refund is due and any resulting costs, including onward transport, are your responsibility. You are liable for any damage you cause to accommodation or vehicles.
Minors
Travellers under 18 must be accompanied by a parent or legal guardian, who accepts these conditions on their behalf and remains responsible for them throughout the tour.
Photography
We may take photographs or video during tours and use them for promotional purposes. If you prefer not to appear in such material, please tell your guide or write to us, and we will respect that.
Privacy
Personal data provided when booking is handled in accordance with our Privacy Policy.
Liability
We act as an organiser of travel services and contract with independent suppliers — hotels, drivers, guides, restaurants and activity providers. We select these suppliers with care and accept responsibility for the proper performance of the services we have agreed to provide. We are not liable for loss or damage caused by circumstances outside our control, by the acts of third parties unconnected with the tour, or by your own actions.
Governing Law
These conditions and your contract with Hikasus LTD are governed by the law of Georgia, and any dispute falls under the jurisdiction of the courts of Georgia.
