To complete a booking we also need passport details for each traveller, which hotels and border authorities require.

Information you give us voluntarily. If you tell us about a dietary requirement, mobility limitation or medical condition relevant to your tour, we record it only so that we can arrange your trip properly. You are never obliged to provide it.

Information collected automatically. When you visit our website, our servers and our hosting provider record technical data including your IP address, browser type, device type, language setting, the pages you view, and the website or advertisement that referred you to us.

How We Collect It

We collect information through the contact and booking forms on this website, by email, by telephone and WhatsApp, and automatically through cookies and server logs as described below.

Our website forms are processed through a third-party form service, which passes your message to us by email.

Why We Use Your Information

We use your personal information to:

  • respond to enquiries and prepare quotations
  • confirm and administer your booking
  • arrange accommodation, transport, guides and permits with our suppliers
  • process payments and issue invoices
  • contact you before and during your trip
  • meet legal, accounting and tax obligations
  • understand which pages and referral sources bring visitors to our site
  • send you offers and news about our tours, where you have agreed to receive them

We rely on the following legal grounds: performance of your contract with us; our legitimate interest in operating and improving our business; compliance with legal obligations; and your consent, where consent is required. Where we rely on consent, you may withdraw it at any time.

We do not sell your personal information, and we do not send unsolicited marketing.

Who We Share It With

To deliver a tour we must pass certain details to the suppliers involved in it. These include hotels and guesthouses, drivers and transport companies, guides, and activity providers. Typically they receive only the names of travellers, dates, and any requirement relevant to their part of the service. Where accommodation or border crossings require it, passport details are also shared.

We also share information with:

  • our payment providers and bank, to process card payments and transfers
  • our website hosting, security and form providers, who process data on our instructions
  • professional advisers, accountants and authorities, where we are legally required to do so

Suppliers in Georgia and the wider region process your data under their own obligations. We share only what is necessary and do not pass your information to anyone for their own marketing.

International Transfers

Hikasus Travel LTD is based in Georgia. If you contact us from the European Economic Area or the United Kingdom, your information will be transferred to and processed in Georgia, and in the countries included in your itinerary. Georgia has its own data protection legislation and we apply the standards described in this policy to all data we hold, wherever it is processed.

How Long We Keep It

We keep enquiry data for up to two years from your last contact with us, unless you ask us to delete it sooner. Booking and financial records are kept for as long as Georgian accounting and tax law requires. Passport details are deleted once they are no longer needed for the trip. Marketing contact details are kept until you unsubscribe.

Cookies and Similar Technologies

Our services are aimed at adults. We collect information about travellers under 18 only as part of a booking made by a parent or legal guardian.

We take reasonable technical and organisational measures to protect your information, including encrypted connections to our website and restricted access to booking records. Please note that no method of transmission over the internet is completely secure, and we recommend that passport scans and similar documents are sent to us only when requested.
